How to Evaluate a Medical Waste Removal Contract
What to look for before you sign: pickup frequency, fees, container charges, contract terms and the questions worth asking.
Medical waste contracts are where small practices lose money quietly. The base rate looks reasonable, and then the invoice arrives with administrative fees, fuel surcharges, container rentals and annual increases. Here is what to read before you sign anything.
Start with your actual waste
Before comparing vendors, know your streams: how many sharps containers you fill per month, how many red bags, and whether your volume is steady or seasonal. A vendor that asks these questions is already more serious than one that quotes a flat rate sight unseen.
Read the fee schedule, not just the rate
- Administrative or account fees charged per invoice or per month.
- Fuel or environmental surcharges and whether they are capped.
- Container charges: rental, purchase or per-exchange fees for sharps containers and red bag boxes.
- Overage charges for waste above the contracted amount.
- Annual price increase clauses and how much notice is required.
- Early termination fees and auto-renewal terms.
Match frequency to reality
A two-operatory dental office rarely needs weekly pickups. Paying for a schedule you do not fill is one of the most common forms of waste spending. Look for vendors that offer on-call or right-sized recurring service, and be wary of contracts that lock you into a frequency with penalties for changing it.
Questions worth asking
- What exactly is included in the quoted rate, and what is billed separately?
- How do price increases work, and how much notice will I get?
- What tracking documentation comes with each pickup?
- Where is my waste taken after pickup?
- What happens if I need to change frequency or cancel?
